THE SHORT ANSWER

How does class scheduling work in StudioFly?

Class booking is part of every StudioFly plan. You set up regular classes once and they repeat each week, each with its instructor and a participant limit that fits the room or the equipment. Members book, cancel and reschedule in the member portal within your rules, booking their own spot up to the capacity you set. Turn on a waitlist for any class: members join it themselves when the class is full, and the first person waiting is moved in automatically when a place frees up. A cancellation window on each class means a late cancellation or a no-show can automatically cost a class credit. Class packs and unlimited passes sit alongside memberships, and credits are deducted automatically when a member attends. When an instructor is out, you reassign the class to another instructor and let the members who booked know.

HOW IT COMES TOGETHER

How studio class scheduling works

  1. 01

    Shape the session

Choose the class format, level, instructor, time and capacity.

  2. 02

    Build the rhythm

Set up recurring classes and keep the schedule in one place.

  3. 03

    Welcome the class

Review bookings and attendance with the session they belong to.

THE DETAILS THAT MAKE A DIFFERENCE

Studio scheduling software features, in one timetable.

A closer look at class scheduling, built around the way your studio works.

01

Recurring schedules

Set a weekly rhythm for regular classes without rebuilding the whole schedule each week.

02

Capacity that fits the room

Set a maximum booking capacity for each class and see how many places are taken.

03

Instructor assignments

Connect each session with the instructor responsible for teaching it.

04

Member bookings

Let eligible members book available sessions through their connected member experience.

EVERYTHING A CLASS NEEDS, IN ONE PLACE

How studios run their class schedule in StudioFly.

A class is more than a time slot. It has an instructor, a limit, the people booked in and the rules for when plans change.

01

Weekly classes that repeat

Set up your regular classes once and let them repeat, so the schedule stays consistent from week to week without being rebuilt every Monday.

02

A limit for every class

Give each class a participant limit that fits the room or the equipment, and see how many places are taken before the session starts.

03

Members book themselves

Members book, cancel and reschedule in the member portal within your rules, so fewer booking requests arrive as messages to the front desk.

04

Cancellation windows

Set a cancellation window for each class. A late cancellation or a no-show can automatically cost a class credit, which protects small classes without anyone chasing a fee.

05

Packs and credits

Class packs and unlimited passes sit alongside memberships. Credits are deducted automatically when a member attends.

06

Cover when an instructor is out

Reassign a class to another instructor and let the members who booked know, so a change of teacher doesn’t become a flurry of messages.

MORE SPACE FOR WHAT MATTERS

Your schedule should bring things together.

Keep the session, the instructor and the booking list connected instead of updating separate sheets.

Made for your everyday

Class scheduling on every StudioFly plan

Class booking is part of every StudioFly plan. Members book their own spot in each class, up to the capacity you set. Turn on a waitlist for any class: members join it themselves when the class is full, and the first person waiting is moved in automatically when a place frees up.

YOUR QUESTIONS, ANSWERED

Class scheduling FAQs

Want to talk through your own setup?

Let’s have a conversation
Can different classes have different capacities?

Yes. Give each class a participant limit that fits the room or the equipment, so a six-person reformer class and a larger mat class each fill to the right size. You see how many places are taken before the session starts, and members can book up to the capacity you set.

Can we schedule recurring classes?

Yes. Set up a class once, with its format, level, instructor, time and capacity, and let it repeat, so the schedule stays consistent from week to week without being rebuilt every Monday. When an instructor is out, reassign that class to someone else and let the members who booked know.

Can members book a spot in a reformer class?

Yes. Set the class capacity to the number of reformers in the room, and members book their own spot until the class is full. After that they can join the waitlist, and the first person waiting is moved in automatically when a spot frees up.

Can members cancel or reschedule themselves?

Yes. Members book, cancel and reschedule classes in the member portal, within the cancellation window you set for each class.

What happens when a member doesn’t show up?

A no-show or a late cancellation can automatically cost a class credit, based on the rules you set. It’s a credit, not a fee.

How do I create a class schedule for my studio?

Add each class type once, with its format, level, instructor, time and capacity, and set it to repeat weekly. StudioFly builds the timetable for the weeks ahead, members book from it in the member app, and you can reschedule a session or reassign its instructor when plans change.

Is there free class scheduling software for studios?

You can try StudioFly’s class scheduling free: start a free trial, build your real timetable and let members book before you choose a plan. After the trial, scheduling, booking and waitlists are included in every plan.

What’s the difference between class scheduling and class booking software?

Scheduling is your side: the timetable, instructors, capacity and cancellation rules. Booking is the member’s side: finding a class, booking a spot, joining a waitlist and paying. StudioFly does both in one system; see our class booking software page for the member side.
