Which class reminders work best: WhatsApp, text or email?

WhatsApp carries the reminder and email keeps the record. A good reminder names the class, the time and the cancel-by deadline, and arrives while members can still cancel without losing a credit.

In India, WhatsApp works best for class reminders, because it's the app members already check through the day and the one they use to message the studio. Email is the right place for the record: the booking confirmation, the invoice, the cancellation policy. Text messages still reach any phone, but they sit among OTPs and bank alerts, where a reminder about a 7 a.m. class is easy to miss. WhatsApp for the nudge, email for the paperwork.

WhatsApp suits reminders because a reminder is short and time-sensitive. A member glances at it before bed, sees "7 a.m., Reformer Foundations, with Anjali", and either sets an alarm or cancels.

Email suits the record because it's searchable and stays put. When a member asks in March what they paid in January, or wants to reread the cancellation policy they agreed to, an email is where they'll look. GST invoices belong there too.

A confirmation and a reminder do different jobs

A booking confirmation goes out the moment someone books. It proves they have a spot and records the class, the date and time, the instructor and the branch. A class reminder goes out later, shortly before the class, and its job is to make sure the member either turns up or frees the spot in time.

Send both. A confirmation on WhatsApp and email gives the member a quick check and a permanent record, and a reminder on WhatsApp catches them when it matters.

What a good reminder says

A good reminder answers the questions a member would otherwise send to the desk. Keep it to a few lines. Here's an example for a 7 a.m. class:

Hi Priya, a reminder of your Reformer Foundations class tomorrow, Tuesday, at 7 a.m. with Anjali at our Banjara Hills studio. Please come 10 minutes early and bring grip socks. Can't make it? Cancel in the app before 7 p.m. today and your credit stays on your pack.

Look at what's in it: the member's name, the class, the day and time, the instructor, the branch, what to bring, and the cancel-by time. That last line does the most work. A member who knows they have until 7 p.m. to cancel without losing a credit will often free the spot instead of quietly not turning up.

Leave out offers, new-batch announcements and long links. A reminder that reads like marketing gets muted, and then the next one isn't read at all.

When to send it

Time the reminder around your cancellation window, not around the class. It's most useful while the member can still cancel without losing a credit.

Say your cancellation window is 12 hours. For a 7 a.m. class it closes at 7 p.m. the evening before, so a reminder sent at 8 p.m. arrives too late to help. Send it at 5 p.m. instead, and anyone who can't come still has two hours to cancel and free the reformer for someone on the waitlist.

Evening classes follow the same rule: count back from the moment the cancellation window closes, and send the reminder a couple of hours before that. One reminder per class is enough. Avoid late nights, too: a message at 11 p.m. about a 6 a.m. class wakes people up, and they remember who sent it.

Renewal reminders run on a different clock. They go out a few days before a plan expires, so the member can renew before their next booking. Our WhatsApp fee reminder templates include renewal messages you can adapt.

Consent, opting out and the member's side

Only send reminders to members who gave you their number for class updates and agreed to hear from you. Ask at sign-up, in plain words: "We'll send booking confirmations and class reminders on WhatsApp." Keep reminders separate from promotions, so agreeing to one isn't agreeing to the other.

Make stopping easy. A member should be able to reply or tell the desk, and the change should stick: note it on their profile so nobody adds them back by mistake. Some members would rather not get WhatsApp messages at all, and that's a fair request to honour.

As a member, save the studio's number so its messages don't arrive from an unknown contact, and keep notifications on for that chat. Read the cancel-by time in each reminder, because it's the most useful line. If reminders stop arriving, or one turns up for a class you didn't book, tell the desk the same day, since the booking may be wrong too.

Setting up reminders at your studio

Sending reminders by hand works while the studio is small. After that, someone at the desk spends every evening copying and pasting messages, and on the night they're off, nobody gets one. Can a Pilates studio send class reminders automatically?

Is a text message or an email better for class reminders?

Do reminders really cut no-shows?

Yes, for one kind of no-show: the member who forgot, or whose plans changed and who never got round to cancelling. A reminder sent before the cancellation window closes turns some of those into early cancellations, and the spot goes to someone on the waitlist. Reminders won't fix a policy members don't understand, so publish a clear late cancellation and no-show policy as well.

How do I stop getting class reminders from my studio?

Ask the studio to stop your class reminders, either by replying to the message or at the front desk, and check that it's noted on your profile so they don't start again. Once you opt out, remembering your bookings is up to you, and the cancellation policy still applies if you miss a class.
