How can a studio owner use ChatGPT?

A studio owner can use ChatGPT to ask plain questions about the studio and get answers from StudioFly's own records, once StudioFly is connected to ChatGPT. You sign in with your StudioFly login, so ChatGPT sees only what your role and locations can see. Ask how today looks, which memberships or class packs end this week, who owes money, which members have stopped coming, or how full next week's classes are. ChatGPT can also make ten kinds of change, such as booking a member into a class, checking someone in or sending one payment reminder. Every change is shown as a preview first and waits for your yes, a booking or a check-in as much as a reminder. Recording payments, refunds, invoices and settings stay in the StudioFly app. The connector is included on the Pro and Enterprise plans and available as an add-on on Growth.

A quick look at the day ahead

Most owners start the day the same way: open the app, check the schedule, scan the bookings, look at who has paid. With StudioFly connected, you can ask ChatGPT one question instead and read the answer between classes.

“Today at a glance” covers check-ins, who is in the studio right now, class bookings against the places available, private sessions done and planned, and what was collected today. It covers every location your login can see, or one location if you name it. On a quiet Monday at the demo studio, the answer above was four short lines.

WHO OWES WHAT

Dues and renewals, without opening a report

Chasing payments is the part of studio admin nobody misses. Ask ChatGPT who owes money and it reads the same list as the Payment Due report in StudioFly: the total first, then each member, oldest balance first.

Renewals work the same way. “Expiring soon” lists memberships and class packs that end in the next 1 to 31 days and haven't been renewed, soonest first, with anything the member owes. “Renewals and churn risk” goes a step further and flags the members due to renew who have also stopped coming.

These answers come from Kinetic Loft Studio, a demo Pilates and yoga studio set up in India, so its amounts are in rupees.

Send a payment reminder after you've seen it

Reading is half the job. When a balance needs a nudge, ask ChatGPT to send that member a payment reminder. StudioFly first shows a preview: the bill, the amount and how the reminder will go out. Then it asks “Shall I go ahead?” and sends nothing until you say yes.

Every change waits for your answer like this, and a reminder shows why it matters: it messages a member. Say no and nothing is sent. A preview can be used once and expires after 10 minutes, so the same reminder is never sent twice by accident.

A reminder covers one unpaid bill or class pack for one member. Reminders to many members at once stay in the StudioFly app, where you can see the whole list before anything goes out.

Find members who have gone quiet

A member who stops booking rarely announces it. “Inactive members” lists everyone with an active plan who hasn't visited for a number of days you choose, from 7 to 180, longest away first, with each person's last visit. Members who have never visited aren't counted, so the list stays about people who used to come.

Pair it with your own judgment. A short message from the instructor someone used to see often lands better than a generic offer. ChatGPT gives you the names; you decide who to call and what to say.

  • “Which members haven't been to a class in the last 14 days?”
  • “Who is due to renew this month and has stopped coming?”
  • “Look up Neha Joshi.” One member's plans, packs, sessions left, dues and recent visits.
WHAT STAYS IN THE APP

Clear limits, so you stay in charge

ChatGPT can read a lot, but it changes only what the connector allows, and only as you. Each change needs the same permission your role needs in StudioFly, so a front-desk login can't do more in ChatGPT than it can at the desk.

  • Payments, refunds, invoices and bills are recorded in the StudioFly app.
  • Nothing can be deleted, and settings can't be changed.
  • It never lists or exports all your members, and never shows anyone's pay, bank or ID details.
  • It sees only your studio. No question can reach another business.

Only after you connect it, and only as you. You sign in to StudioFly from ChatGPT with your own login and approve the connection, so ChatGPT sees what your role and locations can see, nothing more. You can disconnect at any time in ChatGPT or from Connected AI apps in StudioFly.

Is StudioFly in the ChatGPT app directory?

The StudioFly app is coming soon to the ChatGPT app directory. You can connect it today through ChatGPT's developer mode: turn developer mode on in ChatGPT's settings, add a new app with the StudioFly connector address, then sign in with your StudioFly login and approve.

Will ChatGPT change anything without asking me?

No. Every change waits for your yes. Whether it's booking a member into a class, checking someone in, adding a lead or sending a payment reminder, it starts as a preview that changes nothing and ends with “Shall I go ahead?”, and nothing is made until you say yes. ChatGPT can also show its own approval card before a change, depending on how it is set up.

Can my instructors use it too?

Yes. Each staff member connects with their own StudioFly login, and the connector follows their role. An instructor without access to reports won't see revenue in ChatGPT either. The owner sets what each role can do in Settings → Roles & Permissions.

Can ChatGPT record a payment?

No. Payments, refunds, invoices and bills stay in the StudioFly app. Ask ChatGPT to record one and it says so and points you to the app. It can send a member a reminder for an unpaid bill after you approve the preview.
