What is ChatGPT studio management software?
ChatGPT studio management software lets you run parts of your studio from a ChatGPT conversation instead of a dashboard. StudioFly does this through a connector: you sign in with your own StudioFly login, and ChatGPT can then use 37 tools on your behalf. Seventeen read your studio, from today's bookings and the class schedule to dues, renewals, attendance and revenue. Ten make changes, such as booking a member into a class, scheduling a weekly series, checking someone in or extending a membership, and each of those has a preview that changes nothing. Every change waits for your yes. ChatGPT sees only what your role and locations can see, and payments, refunds, invoices, deleting and settings stay in the StudioFly app. The StudioFly app is coming soon to the ChatGPT app directory, and you can connect it today through ChatGPT's developer mode.

The connector gives ChatGPT a fixed set of tools, each named for what it does. ChatGPT picks the tool that fits your question, and StudioFly answers from the same records the dashboard uses, so a number in the chat matches the number on the screen.

Every change starts as a preview that changes nothing, and nothing is made until you answer yes to “Shall I go ahead?” That goes for a booking or a check-in as much as a cancellation or a payment reminder.
Every change starts as a preview
A change takes two steps. First, the preview tool works out exactly what would happen: who, what, before and after, and who will be told. It changes nothing and ends with the question “Shall I go ahead?” Only after you say yes does the change tool make that one change, using the preview's id.
A preview can be used once, within 10 minutes. If anything it showed has changed in the meantime, such as a class filling up, the change is refused and ChatGPT needs a fresh preview. Nothing is ever done twice.
There are no exceptions. Booking a spot, checking someone in, adding a lead, canceling a class or sending a payment reminder: each waits for your answer to “Shall I go ahead?” Say no, or say nothing, and nothing changes.
Your role decides what ChatGPT can see
There's no shared key and no separate admin account. Each person connects with their own StudioFly login and approves the connection on StudioFly's own consent page. From then on, ChatGPT acts as that person.
A change needs the same permission it needs in the dashboard. Someone without the right to check members in can't do it through ChatGPT either, and a login limited to one location sees only that location.
- The owner sets each role's permissions in Settings → Roles & Permissions.
- Anyone can end their own connection from Connected AI apps in StudioFly.
- StudioFly logs each tool call (the tool, its inputs and the outcome), not your conversation.
Money and settings stay where they belong
Some jobs deserve a full screen, a second look and a receipt. Recording a payment, issuing a refund, creating an invoice or bill, deleting anything and changing settings all stay in the StudioFly app. Ask ChatGPT for one and it tells you where to go.
At the demo studio, asked to record a ₹2,000 cash payment, ChatGPT replied that it couldn't record payments through this StudioFly connection and asked for the payment to be recorded in the StudioFly app.
- No listing or exporting of all members.
- No pay, bank or ID details, and no passwords.
- No access to another business, whatever the question says.

What the reads look like
Reads are where most of the time goes. A member count, a class pack balance, a revenue total: each comes back in a few lines, with the dates it covers.
These answers come from Kinetic Loft Studio, a demo Pilates and yoga studio set up in India, so its amounts are in rupees.

What can ChatGPT read in StudioFly?

What if ChatGPT misunderstands me?
That's why every change is previewed first. You see exactly who and what would change, nothing happens until you say yes, and a preview that no longer matches the studio is refused. A missing detail, such as which of two classes at 7am, comes back as a question. Reads come straight from StudioFly's records, the same figures the dashboard shows.
Does ChatGPT see member phone numbers?
Member lookups don't show phone numbers, and a new lead's phone appears only as its last four digits in the preview. You can still look a member up by phone.
Is the connector the same as the AI Business Pack?
No. The AI Business Pack is StudioFly's own AI inside the app: AI Insights, a business assistant and a WhatsApp AI agent. The connector lets ChatGPT and Claude work with your StudioFly data. They're separate, and each has its own plans.
What does the connector cost?
The AI connector is included on the Pro and Enterprise plans and available as an add-on on Growth. The add-on costs ₹300 a month or ₹3,000 a year for studios in India, or $5 a month or $50 a year elsewhere, plus applicable taxes.
